JOB GOAL: To provide secretarial, clerical, record keeping, and organizational services for the elementary school. Serves as the building receptionist and the confidential secretary to the building principal. Performs a variety of secretarial, administrative, and specialized clerical duties requiring knowledge of district and building policies and procedures.
ESSENTIAL REQUIREMENTS: To perform this job successfully an individual must be able to execute each requirement satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability needed for the position.
- High School Diploma or equivalent as required by OAR 581-37-030, Oregon
- Department of Education (one year of vocational training or college preferred)
- 21 years of age or older
- Have completed at least three (3) years of progressively responsible secretarial experience
- Ability to work harmoniously with others and to communicate effectively (both orally and
- in writing) with students, parents, and teachers
- Ability to understand and follow oral and written instructions
- Ability to maintain confidentiality
- Possess knowledge of elementary and district personnel and procedures
- Skilled in computer operation and use of computer programs involving word processing; must also be able to use telephone, calculator, copier, and other office equipment
- Ability to respond sensitively to questions and complaints from students, parents, staff, and the public and maintain confidentiality of information
- Ability to work independently on difficult clerical tasks, keep complicated clerical records and prepare accurate reports
- Ability to type accurately and rapidly (65 wpm minimum); possess language skills including composition, punctuation, spelling, correct usage, and ability to draft routine correspondence as directed by the principal
- Ability to set up and use an efficient filing system
- Ability to possess and maintain a valid First Aid card
- Physical requirements may include:
- Moderate degree of physical stamina and a light degree of physical strength
- Ability to stand, walk, and bend frequently, and occasional lifting up to 50 lbs.
- Ability to use computer, telephone, and other office equipment for extended periods of time
- Ability to make frequent trips from desk to counter, files, and other office location
- Ability to physically restrain a student if needed
- Some positions require possible exposure to bodily fluids while assisting students with rest rooms and tending to injuries and illnesses.
Such alternative to the above requirements as the School Board or the Administration may deem appropriate and acceptable.
ESSENTIAL DUTIES AND RESPONSIBILITIES: include the following. Other duties may also be assigned.
- Serve as the primary contact person and liaison between the principal and students, teachers, parents, district personnel, staff, and the general public
- Enroll new students, providing the students and parents with appropriate information and documents; send for student records, set up file, add to class list, process cumulative files and notify teachers for determination of placement
- Assist the building principal in the computer set up of the master schedule and ordering necessary reports
- Greet parents and visitors, respond to inquiries or refer to appropriate staff member
- Provide first aid and related health care to students; bandage minor injuries, take temperatures, check for head lice, and provide emotional comfort for students; communicate with parents regarding ill students; in some circumstances assess critical medical or health emergencies and initiate appropriate response, assist students who have physical disabilities, and dispense prescribed medications in accordance with district policy and procedures
- Maintain a High level of ethical behavior and confidentiality when dealing with student and staff information
- Answer and screen telephone calls and take messages, respond to inquiries, provide information about school and bus schedules and refer to appropriate staff member
- Type correspondence for principal and material for teachers and run off copies; update and print school handbook, checklists, and newsletters; maintain school files including correspondence, building use, payroll data and student insurance; attend school meetings and take minutes as requested
- Order and maintain an inventory of school supplies; receive, distribute, or store supplies
- Compile, coordinate, monitor, and maintain a variety of financial and statistical records and accounts related to school activities
- Maintain immunization files on students, communicating with parents on immunizations needed
- Research, compile, and prepare routine administrative and complex clerical reports and documents (i.e., State Quarterly Attendance Report, Early Leaver Report, Annual Report for the Health Department, etc.)
- Train and supervise student assistants on proper telephone etiquette, acting as receptionist for students and parents, delivering a variety of material to teachers and offices and performing general office duties
- Perform such other tasks (which may require knowledge of other job descriptions) as may seem to be appropriate to the Board or Administration.
CERTIFICATES, LICENSES, REGISTRATIONS, BONDING, AND/OR TESTING REQUIRED:
- Must possess and maintain a valid First Aid card
- Criminal Justice Fingerprint Clearance.
